149th Cowichan Exhibition Fair | September 8th, 9th, & 10th,  2017

 

 


 

NO DOGS ALLOWED ON THE EXHIBITION GROUNDS

 

Exceptions are guide dogs & those dogs participating in an Exhibition-sanctioned show or competition. Once that event is over, owners must remove their dogs from the Cowichan Exhibition Park.

 


 

 

General Rules & Regulations

 

Please read carefully.  These Rules & Regulations apply to all Divisions, unless noted otherwise under a Division's rules.

 

Admissions & Passes

 

a. 2017 Exhibition: Friday, September 8th; Saturday, September 9th, & Sunday, September 10th.  The midway is open Thursday, September 7th.

 

b. The Park will be open to the public 8 am to 10 pm on Friday & Saturday, & 9:30 am to 4 pm on Sunday.

 

c.  Mellor Hall will be open to the public 9am to 10 pm on Friday & Saturday, & 9:30 am to 4 pm on Sunday. Exhibitors can pick up their hall entries after 4 pm on Sunday.  

 

d.  Daily Admission: Adult: $10; Senior $9; Child (7 to 13) $6; Child (6 & under) Free.

 

e. 3 Day Passes are $23

 

f. 4-H members with valid 4-H cards - no charge

 

g. Public Camping fees: $35 for a 3-day camping pass (gate admission is extra).

Camping in a designated area in Exhibition Park is available to exhibitors and the general public on a "first come" basis. Contact the Office.

 

Parking & Unloading 

 

a. All vehicles entering the park during the Exhibition must display a Vehicle Pass, available at the office.

 

b. All persons entering the park must pay admission. 

 

c. Only feed/livestock trucks & other service vehicles will be allowed on the park prior to 10 am daily.

 

d. No vehicle access to the park between 10 am - 4 pm.

 

e. Parking is available in designated areas outside Gate #3 (Buckerfield's Gate).

 

f. Security is on site 24 hours from Thursday to Sunday.

 

Entries in General

 

a. Exhibitors may purchase 3 Day Exhibitor Pass for $15 when delivering their entry forms. Limit: 1 per exhibitor.

 

b. Unless noted otherwise in a Division's rules, entry forms must be received by due date listed in the catalogue page.

 

c. All entries must be made out on the appropriate Exhibition form (photocopies acceptable) & must be accompanied by the entry fees.  Please ensure that the exhibitor's name and mailing address are correct.

 

d. Entry fees can be paid by cash ( CDN $), debit or credit card, money order, bank draft or acceptable cheque made out to "Cowichan Exhibition".

 

e.  Bring or mail entry forms & fees to the Office: Cowichan Exhibition, 7380 Trans Canada Hwy, Duncan, BC V9L 6B1.

 

f. Entries will not be accepted via telephone, fax or e-mail.  

 

g. The Exhibition reserves the right to limit entries if the number of entries exceeds the space avaiable.

 

h. No entry fee will be refunded on cancelled entries.  

 

Livestock Entries

 

a. Exhibitors may purchase 3-day Exhibitor Pass for $15 when delivering their entry forms.  Limit: 1 per exhibitor. Single day passes are available for $10 each. No limit.

 

b.  Unless noted otherwise in a Division's rules, entry forms must be received by 5 pm, on the deadline listed in the catalogue.

 

c. All entries must be entered in the name of the owner & must have been their bona fide property for at least 14 days prior to the entry deadline.

 

d. Proof of ownership and health certificate must be produced on demand. The Exhibition reserves the right to order the removal of any exhibit that, in its opinion & on the advice of a qualified veterianarian, shows evidence of a contagious disease.

 

e. The age of cattle is outlined in the Dairy & Beef Cattle divisions. The age of horses is as of January 1st, of that particular year of entry. 

 

f.  All barns are to be left clean with the bedding cleaned out. Exhibitors leaving dirty stalls will forfeit their prize money.

 

g. No smoking in or around the barns.

 

h.  Use Livestock Gate #3 (Buckerfield's) for all pickup & delivery.

 

i.  The Exhibition will supply bedding & water.  Exhibitors are responsible for feed/hay for their livestock.

 

Livestock Prize Money

 

a. Prize money awarded in all Livestock Divisions will be prorated based upon the number of entries in each class.

 

b.  Prize money less than $10 will not be mailed; please pick it up at the office.  Cheques for all other prize money will be mailed within 30 days of the fair. 

 

c. If you have not recieved your prize money cheque by November 15 please contact the office.

 

d.  Prize money donated to the Cowichan Exhibition is greatly appreciated.  

 

Hall Entries

 

a. Exhibitors may purchase a 3-day Exhibitor Pass for $15 when delivering their entry forms. Limit: 1 per exhibitor.

 

b. Unless noted otherwise in a Division's rules, entry forms must be received by 5 pm on the day listed in the catalogue. 

 

c. Entry fee is $1 per exhibit.  No late entries.

 

d. No exhibit can have been entered in a previous Cowichan Exhibition.

 

e.  All exhibits must have been completed or grown by the exhibitor in the past two years.

 

f.  No exhibitor can enter more than one exhibit in a class, except where specified in an individual Division.

 

g.  The age of a child is as of January 1 of the current year.

 

h. if possible, tags for Hall Exhibits will be issued when the entry fee is paid.  Please make sure you have picked up your tags by 5:30 pm, on the deadline in the catalogue.

i. It is the exhibitor's responsibility to enter the correct class. If any entry is obviously in the wrong class, it will be relocated at the discretion of the Division's Chairperson.

 

j.  Unless specified otherwise in a Division's rules, all entries must be tagged & in place for judging by 6 pm, the Thursday before the fair.  Mellor Hall will be open for delivery between 10 am and 5:30 pm.  Check the catalogue for the specific date.

 

k. Exhibitors must report to the Division Chairperson before leaving their entries on a display table.

 

l.  Only division judges & designated Exhibition volunteers will be permitted in Mellor Hall after 6 pm.

 

m. Any exhibitors removing exhibits before 4 pm on Sunday will forfeit their prize money.

 

n. The Exhibition will not be responsible for items left after 6 pm on Sunday & cannot be liable for any losses.

 

o.  All food exhibits not picked up by 6 pm, Sunday will be discarded. Any hall entries left over by the exhibition will be donated to a local charity thrift store.

 

Hall Prize Money 

 

a. Prize money will be available for pick up at the Exhibition Office the week listed in the catalogue.  

 

b. Prize money donated to the Cowichan Exhibition is appreciated.

 

Commercial Exhibits & Concessionaires

 

a.  Food concessions & outside commercial displays must be in place by 9 pm, Thursday before the fair (please see contract).  Indoor commercial booths must be in place prior to 6 pm.

 

b. Space renters are fully responsible for their displays during the Exhibition's open hours.

 

Liabilities and Obligations

 

a.  Any exhibitor who violates any general or specific Division Rule shall forfeit any or all prize money & any awards made to them.

 

b, Exhibitors of animals, machinery in motion, & other exhibits liable to cause accidents, injury or damage to property or persons coming in contact with them, shall guard their exhibits & protect the public from coming in contact with them.

 

c. Every exhibitor shall indemnify the Cowichan Exhibition from & against all clains, demands, costs, charges & expenses which it may incur, suffer, or by reason of any accident or of any person being injured or suffering damage through or by reason of any such exhibit, performance or concession not properly guarded or the public not be protected from it.  While the Board will take all reasonable precautions to ensure the safety of the exhibits sent to the Cowichan Exhibition, the owners themselves must take the risk of exhibiting them. Should any exhibit be accidentally injured, lost or stolen, the Board will give all assistance in their power towards its recovery, but will not make any payment for it.

 

d. No claim for injury to any person or property shall ever be asserted or suit be maintained against the Cowcihan Exhibition, its Directors or their agents, by or on behalf of any visitor, exhibitor, or any person, firm or corporation, or their agents, representatives, servants, or employees, having license of privileges to visit or exhibit at the Cowichan Exhibition or occupying any space theron.

 

e.  Any article or stand left in the buildings or on the park after the close of the Exhibition will be at the risk of the owner.  The Cowichan Exhibition's Board will recognize no accounts unless incurred by order of the Board.

 

Judging and Disputes

 

a. Judges will receive a letter informing them of their appointment & when, where & whom to report to on arrival at the Exhibition.  A copy of the Division's classes will be included with the letter.  Judging will commence at the time stated in the Division's rules. 

 

b. The Judge's decision/s will be final.

 

c. No person shall be allowed to act as a judge if he is in any way financially interested in the exhibits.

 

d. Chairpersons are not to judge their own Divisions.

 

e.  Judges are not obligated to award any prize if the exhibit does not merit it.  A single entry in a class does not guarantee a prize.

 

f, All Livestock class protests must be made in writing, must state plainly the cause of complaint, and must be delivered with a deposit of $25 to the Exhibition Office within 3 hours of the judge's decision.

 

g. All Hall class protests must be made in writing, must state plainly the cause of complaint, and must be delivered with a deposit of $25 to the Exhibition Office by 6 pm before the fair ends.

 

h.  In both cases, the deposit will be forfeited if the protest is not sustaintained.  The Exhibition's Board of Directors shall be the final judge of all protests.
